The My Sites tab shows all the placement sites where you’re doing your fieldwork. This is where you manage the locations where you’re logging hours — you can view active sites, request new ones, and track pending approvals.

Viewing your sites

Each site card shows:
  • Site name, location, and description
  • Your supervisor(s) at that site
  • Any site-specific requirements or notes
Click a site card to open its full profile, where you can see more detail and take actions like canceling a pending request.

Selecting an established site

Your program maintains a list of pre-approved sites. Browse the list and select one that matches where you’re doing your placement.
Established sites don’t require coordinator approval — once you select one, it’s immediately active and you can log hours there right away.
This is the fastest path to getting started. If your site is in the established list, use it.

Requesting a new site

If your placement site isn’t in the established list, you can submit a request for it to be added and approved.

Start the request

Click Request New Site on the My Sites tab. You can also submit a new site request during the clearance process if prompted.

Provide site details

Fill in the basic information about the site: name, location, and a brief description. Include your supervisor’s name and contact email so your coordinator can verify the placement.

Submit for review

Submit the request. Your coordinator will review it and either approve or reach out with questions.
While the request is pending, the site card shows a Pending badge. Once your coordinator approves it, the badge disappears and the site becomes active — you can then log hours there.
Do not log hours at a site that still shows a Pending badge. Those hours may not count toward your requirements if the site is ultimately not approved.

Canceling a pending site request

If you submitted a request by mistake, chose the wrong site, or your placement changed:

Find the pending site

On the My Sites tab, locate the site card showing the Pending badge.

Open the site detail

Click the card to open the site’s detail view.

Cancel the request

Click Cancel request. The request is removed immediately.
After canceling, you can submit a new request for a different site or select an established site instead.

Adding a supervisor to a site

Your supervisor needs to be in the system before they can sign off on your hours. If they don’t appear in the supervisor dropdown when you’re logging hours, you need to add them manually.

Go to the Timesheet tab

Navigate to the Timesheet tab from the main navigation.

Open the Tools menu

Click the three-dots icon in the timesheet toolbar to open the Tools menu.

Select Add Supervisor

Choose Add Supervisor from the menu.

Enter their details

Enter your supervisor’s name and email address, then submit.
Your supervisor will receive an invitation email. Once they accept and join, they’ll appear in your supervisor dropdown when logging hours.
Adding a supervisor here makes them available across all your sites — you don’t need to add them separately per site.

Email addresses you can’t invite

To protect existing accounts, the supervisor invite form blocks a few cases. If you see an inline error and the modal stays open, check the email you entered:
  • Your own email. You can’t add yourself as a supervisor. Enter your supervisor’s email instead.
  • An email already used by a student, faculty member, teacher, or admin. That account already has a different role in SimCare and can’t be converted into a supervisor. Ask your supervisor for a personal email address, or contact your coordinator to resolve the conflict.
Free SimCare accounts and existing supervisor accounts work normally — they’ll be linked to your site automatically.
