View your placement sites, add established ones, and request a new site from My Sites or Clearance Tasks.
The My Sites tab shows all the placement sites where you’re doing your fieldwork. This is where you manage the locations where you’re logging hours — you can view active sites, add established program sites, and track pending approvals. Some programs turn off Request New Site on this tab. If you don’t see that button, it isn’t a bug — your program only lets students propose a brand-new site from Clearance Tasks, not from My Sites. You can still pick an established site here.
Select Program Sites to browse your program’s established sites. Search or filter the list, open a site to review its details, and select Add to My Sites for the correct placement.
Many programs activate established sites immediately. Some require approval even when the site is already in Program Sites. Check the resulting status in My Sites and wait for approval if it shows Pending.
This is the fastest path to getting started. If your site is in the established list, use it.
If your placement site isn’t in the established list, you can submit a request for it to be added and approved — either from this tab, or from Clearance Tasks, depending on how your program is set up.
Search by Site Name or Address. If you find the correct site, select it and review its details. If it is missing, select Create New Site or Skip and Create New Site.
3
Complete the site details
Use Next to work through Basic Information, Site Details, and the remaining sections. Complete the required contact and placement information shown by the wizard.
4
Review and submit
Check the Review & Submit page, then select Submit Request. Your coordinator reviews the request unless your program automatically approves it.
Your program has disabled student site requests on My Sites (and in Log Hours). Established sites still work here — browse the list and add one. To propose a site that isn’t in that list, go back to Clearance Tasks:
1
Open Clearance Tasks
From your Field Experience dashboard, click Clearance Tasks.
2
If you're already approved, start an update
On the Application Approved card, click Update Application, then I Understand, Continue. You keep your current access while the update is reviewed. If you’re still in your original clearance flow, skip this step and go straight to Select Sites.
3
Propose the site on Select Sites
On the Select Sites step, click Propose Site (or Propose New Site if the list is empty). Fill in the site details and submit for approval.
Clearance is the only place a new-site request still works when your program has turned this off on My Sites. Don’t wait for a Request New Site button to appear on this tab — it won’t. See Updating an approved application if you need the full update flow.
While the request is pending, the site card shows a Pending badge. Once your coordinator approves it, the badge disappears and the site becomes active — you can then log hours there.
Do not log hours at a site that still shows a Pending badge. Those hours may not count toward your requirements if the site is ultimately not approved.
If you submitted a request by mistake, chose the wrong site, or your placement changed:
1
Find the pending site
On the My Sites tab, locate the site card showing the Pending badge.
2
Open the site detail
Click the card to open the site’s detail view.
3
Cancel the request
Click Cancel request. The request is removed immediately.
After canceling, you can select an established site instead, or submit a new request from Request New Site if you have it — otherwise go back to Clearance Tasks and propose the correct site there.
Your supervisor needs to be in the system before they can sign off on your hours. If they don’t appear in the supervisor dropdown when you’re logging hours, add them from My Sites or from the Timesheet Actions menu — unless your program has turned those actions off.
Navigate to the Timesheet tab from the main navigation.
2
Open the Actions menu
Click Actions in the timesheet toolbar.
3
Select Add Supervisor
Choose Add Supervisor from the menu. Select the correct site and enter the required supervisor details, including their name and email, then submit.
After adding the supervisor, check the Supervisor dropdown for the selected site when logging hours. New invitees also need to follow their invitation email to access their supervisor account.
Supervisor choices are linked to the selected site. If you use multiple sites, check the supervisor connection for each one. Switch Supervisor in the Timesheet Actions menu stays available even when Add Supervisor is hidden; it switches among supervisors already linked to you.
Some programs turn off student supervisor invites on My Sites and in Timesheet Actions. That isn’t a bug. To invite someone new, go back to Clearance Tasks:
1
Open Clearance Tasks
From your Field Experience dashboard, click Clearance Tasks.
2
If you're already approved, start an update
On the Application Approved card, click Update Application, then I Understand, Continue. You keep your current access while the update is reviewed. If you’re still in your original clearance flow, skip this step.
3
Invite on Add Supervisors
On the Add Supervisors step (titled Select Supervisor(s)), click Add new, fill in their name, email, and credentials, then click Invite Site Supervisor.
To protect existing accounts, the supervisor invite form blocks a few cases. If you see an inline error and the modal stays open, check the email you entered:
Your own email. You can’t add yourself as a supervisor. Enter your supervisor’s email instead.
An email already used by a student, faculty member, teacher, or admin. That account already has a different role in SimCare and can’t be converted into a supervisor. Ask your supervisor for a personal email address, or contact your coordinator to resolve the conflict.
Free SimCare accounts and existing supervisor accounts work normally — they’ll be linked to your site automatically.
If you see Request New Site, use that button. If you don’t, go to Clearance Tasks (use Update Application if you’re already approved) and propose the site on the Select Sites step.
I don’t see a Request New Site button
Your program disabled new-site requests on My Sites. You can still add an established site from the list. To request a brand-new site, go back to Clearance Tasks → Select Sites and use Propose Site.
My site has been Pending for a long time
Contact your coordinator directly — they may need additional information to approve it.
I requested the wrong site
Open the site card with the Pending badge, click into it, and use Cancel request. Then resubmit with the correct site.
My supervisor doesn’t appear in the dropdown when logging hours
On the site card, click Add next to My Supervisor. Or use Timesheet > Actions > Add Supervisor. If both are missing, go to Clearance Tasks (use Update Application if you’re already approved) → Add Supervisors → Add new.
I don’t see Add next to My Supervisor
Your program hid student supervisor invites on My Sites (and usually Add Supervisor in Timesheet Actions too). Invite them from Clearance Tasks → Add Supervisors → Add new.
My supervisor was added but still isn’t showing up
Check that you selected the same site used when adding them, then refresh. Ask them to check their invitation email if they also cannot access their supervisor account.
I can’t log hours at my site
Check that the site is active (no Pending badge). Also confirm your clearance is approved — go to My Dashboard > Profile Details > Clearance Tasks. Hour logging requires clearance approval.
I selected an established site but it doesn’t appear on my list
Refresh the page. If it still doesn’t appear, contact your coordinator — there may be a configuration issue with that site.
