How site supervisors get invited to FieldX and what to expect once you’re set up.
As a Site Supervisor, your role is focused on supporting the student(s) placed at your site. You don’t need to manage cohorts or classes — your dashboard gives you exactly what you need to review students and sign off on their hours.
A student requests to be placed at your site and lists you as their supervisor, or
A Program Admin manually adds you to the program
For a new account, look for Welcome to SimCare - You’ve Been Added as a Supervisor from SimCare Field Experience at hello@mail.simcare.ai. The email includes your sign-in URL, email address, and a temporary password. Select Sign In to SimCare and use those details.Your account has already been created. If the temporary password does not work, select Forgot Password? on the sign-in page. If you already use SimCare, sign in with your existing account and ask your Program Admin to confirm the supervisor assignment.
Check your spam or junk folder if you don’t see the invitation within a few minutes. Add hello@mail.simcare.ai to your contacts to ensure future notifications land in your inbox.
On your first login, you may see a prompt to complete your professional profile. Open My Profile to add:
Your CV
License type
Whether you have completed supervision training (yes/no)
Years of licensed practice
Programs use these details for accreditation. The optional prompt has Not Now and Go to My Profile buttons. If your program requires completion, choose Complete My Profile and fill in its outstanding items before using the other tabs. See My Profile.
The Overview tab is your home base. The three KPI cards at the top give you a quick count of where things stand across all your students. Below that, your student list is sorted so students with the most pending tasks appear first — so you always know who needs attention.
The Tasks tab is where you take action on submitted reports and forms. It has four sub-tabs:

Use All Students to choose a student and All Types to choose forms or reports. You can also search the task list. If you supervise students at multiple sites, all of their tasks appear here in one aggregated view.
Sign & Approve is greyed out if the report has zero hours in its date range. Click View Logs to check the entries included in that report. Ask the student to verify the dates, site, supervisor, and hours if the total is zero.
View Logs opens a detailed breakdown of each hour entry on the report: date, type, site, duration, and notes. Your program can flag long entries in amber for review. The default threshold is 2 hours or more; your program can change or disable it.Deny flow: Add your reason in Comments, then click Deny and confirm in the dialog. The submission moves to Rejected. Faculty or a Program Admin can arrange a resubmission.Comments: Choose Everyone for a comment the student should see, or Hidden from students for an internal note visible to supervisors, faculty, and Program Admins. Comments support threaded replies.
Choose Pending and Get Started to open an item. This example uses an administrator's read-only supervisor view.
The Students tab shows every hour entry a student has logged with you, across all reports. Pick a student from the dropdown to see their full timesheet in table or calendar view. The view is read-only — approving or denying hours still happens through report signing on the Tasks tab. See Viewing Student Progress for details.
My Site shows a card for each site you supervise, including the site logo, address, and student roster. From here you can upload a site logo, edit site details, or remove yourself from a site.
If the My Site tab appears empty, no students have added you as their supervisor yet. Once a student lists you, their site will appear here automatically.
Your professional profile — CV, license type, supervision training completion, and years of licensed practice. This information is used for program accreditation reporting and is collected once.
You don’t always need to log into the dashboard to sign off. When a student submits a report, you’ll receive an email notification with a direct link to review and sign — no login required. You’ll also receive a weekly digest listing outstanding signatures.
