The Cohorts tab is your academic work hub. It surfaces everything that needs your attention — pending forms, reports waiting for your signature, urgent items due soon, and learning contracts when your program enables them.
The Cohorts tab shows a blocked overlay until your clearance is approved. If the tab is locked, go to My Dashboard → Profile Details → Clearance Tasks and complete any outstanding items first.

Enrolling in a cohort

If your instructor sent you an enrollment code:

Open the Cohorts tab

Click the Cohorts tab in your Field Experience dashboard.

Click 'Enroll in Cohort'

The Enroll in Cohort button is in the top right header.

Enter the code

The Enroll in a Cohort modal opens. Type the Enrollment Code your instructor gave you and click Enroll.
If your instructor invited you by email instead, you don’t need to do anything — the cohort appears automatically when you log in.
An urgent red dot appears on the Cohorts tab itself when you have tasks due within 3 days. If you see it, open the tab right away.

Your learning contract

If your program uses learning contracts, open a cohort to find its Learning Contract card. The contract records your goals and expectations for that cohort. Its state changes as you progress: Follow your instructor’s deadline for completing the contract. Programs that do not use this feature do not show the card.

Inside a cohort

Click a cohort card to open it. Your tasks are organized into four tabs: Most tasks will be evaluation forms or hour-log reports assigned by your faculty supervisor. This same Pending → In Progress → Completed flow applies to every task type.

Upcoming tasks panel

At the top of the Cohorts tab, the Upcoming tasks panel aggregates pending work across all your cohorts in one view. This is the fastest way to see what needs your attention without clicking into each cohort individually. Items due within 3 days display an urgency flag — check this panel regularly so nothing sneaks up on you.

Completing an assigned form

Find the form

In the Upcoming tasks panel or inside a cohort’s Pending tab, locate the form task card.

Open the form

Click Get Started in Upcoming tasks, or open the form from its cohort task row. The form launches in a new browser tab at /assigned-forms. Keep your main tab open — you’ll return to it after submitting.

Fill it out

Complete every required field — required fields are marked with a red asterisk.

Submit your part

Select Submit Form when your required fields are complete. For a revised response, the button may say Submit Update.Check the form’s saving message before leaving. Some forms save automatically; others state that answers are not saved until you submit. An autosaved draft still needs to be submitted to finish your part.
After you submit, the task moves to In Progress if another person still needs to act. It moves to Completed when all required submissions and signatures are finished. Need to make changes after submitting? Look for a Review / Resubmit option on the submitted form. If that option isn’t available, the form has been locked — ask your Program Admin to reset the assignment so you can resubmit.

Completing your learning contract

Start the contract

Click Start on the Learning Contract card (or Continue if you’ve already begun).

Fill it out

Complete all sections. You can save progress and return later — it stays In Progress until you send it.

Request sign-off

Click Send for Sign-Off to notify your supervisor. The contract is then locked on your end while they review it.
If a form requires signatures from multiple people, it moves to In Progress after you submit and to Completed once everyone signs.

Downloading or printing a form

After a form has a saved or submitted response, its task row shows a top-right Download PDF button. Click Download PDF to open a printable PDF version of the form in a new tab, then use your browser or PDF viewer’s print button.
If printing from the form page cuts off content, download the PDF first and print the PDF instead.

Hours Reports

One common assignment is an Hours Report — a summary of your logged hours for a set period, built from your Timesheet entries. Opening one shows:
  • The reporting date range
  • Your site and supervisor
  • The hours you logged during that period
If you haven’t logged any hours for the period yet, the report will show that no hours were found — go log them on the Timesheet tab first.

Logging an hour on your Timesheet doesn’t automatically make it approved. Complete the required report submission and signatures for those hours. Sign the report yourself when requested; your program can configure reports that do not require a student signature. Hours still need to satisfy your program’s approval and activity requirements.

Submitting an Hours Report

For a report that asks for your signature, follow these steps.

Review the report period, then use SIGN NOW to begin signing.

Open the report

Open the Hours Report from your cohort’s Pending tab.

Review the date range

Check that the reporting period matches what you expect.

Confirm your hours appear

Make sure every hour you logged for that period shows up correctly. Entries become locked as they complete approval, so check carefully before signing.

Open the signing document

Select Sign Report. In Sign Site Report, review the document and select SIGN NOW to enter the signing flow.

Complete your signature

Complete the required signature fields and follow the document’s final submission control. The button label can vary with your program’s report template. Close the signing window after completion and check the task status.
The required signers and their order depend on your program’s report configuration. Check the report’s signature status to see who still needs to act, and follow any remaining task shown to you.
If a report is waiting on someone else, you can’t speed it up from your end. Check My Dashboard → Profile Details → Timesheet Reports to see what’s outstanding.

Common issues

My cohort isn’t showing up after I entered the enrollment code. Double-check that you typed the code correctly. If the modal accepted the code but no cohort appears, refresh the page. If it’s still missing, contact your instructor or Program Admin — the cohort may have been archived. The cohorts tab is locked even though I submitted clearance. Clearance needs to be approved, not just submitted. Check My Dashboard → Profile Details → Clearance Tasks for your current status. Once your coordinator approves, the lock lifts automatically. A form moved to “In Progress” but I already submitted my part. In Progress means at least one required signature is still missing. Your part is done — wait for the next signer (usually your site supervisor or faculty). If it’s been more than a week, send them a polite reminder.
