Signing student hours is done through the Tasks tab on your supervisor dashboard. When a student submits a supervision report, it lands in your task queue waiting for your e-signature — nothing is finalized until you sign off.

How to sign a report

Open the Tasks tab

Click the Tasks tab on your supervisor dashboard. You’ll see all pending reports across every student you supervise. If you supervise students at multiple sites, reports from all sites appear here in one aggregated list.

Find the pending report

Pending reports appear on the Pending status tab. Use All Students or the search box to find a student or report.Use All Types to show reports or assigned forms.

Review the hours

Click the report row (or Get Started) to open the report panel. Click View Logs to see each individual timesheet entry — date, activity type, site, duration, and any notes the student added.Your program can flag long entries in amber. The default threshold is 2 hours or more; your program can change or disable it. Read the notice above the logs and confirm unexpected durations before signing.

Sign & Approve

Click Sign & Approve. An embedded DocuSeal e-signature window opens — complete your part of the signature flow. After you sign, the report can move to Completed for your role. Check the signature status in the panel: the finalized PDF becomes available after all required parties have signed.

Sign & Approve is disabled (greyed out) if a report has zero hours in its date range. Click View Logs to check the included entries. If the total is zero, ask the student to verify the report dates, site, supervisor, and their hour entries. Refresh after corrections.

If you need to deny a report

If the hours look incorrect or the report needs revision, click Deny in the report panel. Before confirming, add your reason in the Comments section at the bottom of the panel — this message is visible to the student and their faculty supervisor so they understand what needs to change. When you’re ready, click Deny in the confirmation dialog to confirm. A denied report moves to the Rejected tab. It is not deleted — faculty or a Program Admin can issue a resubmit flow if the student needs to correct and resubmit. You can still view the report read-only from the Rejected tab.
When writing a denial reason, be specific. “Hours look incorrect on 3/14” is more actionable for the student than “Please review.” The comment thread supports replies, so the student can follow up directly if they have questions.

Comment visibility

When leaving comments, you can choose between Everyone (visible to the student, faculty, and Program Admins) or Hidden from students (visible only to supervisors and faculty). Use hidden comments for internal notes that aren’t meant for the student.

Downloading or printing a completed form

Assigned forms open differently than reports: clicking Fill Form opens the form in a new browser tab at /assigned-forms. Once the form has a saved or submitted response, look for Download PDF on the form. Click Download PDF to open a printable PDF, then print from your browser or PDF viewer.

Approval via email

When a student submits a report, you receive an email notification from hello@mail.simcare.ai. Open the signing link in that email to review the report and complete your signature. A direct signing link can open the signature flow without first visiting your dashboard.
A weekly digest lists outstanding signatures across your students. Use it to catch up on approvals in one session without monitoring the dashboard daily.

Common issues

Sign & Approve is greyed out Click View Logs to check the report’s included entries. Ask the student to verify the dates, site, supervisor, and hour entries if the total is zero. Refresh after corrections; contact your Program Admin if the total still looks wrong. I’m not receiving email notifications Check your spam or junk folder. Notification emails come from hello@mail.simcare.ai — add this address to your contacts or safe senders list to ensure they arrive in your inbox. I can’t find a specific student’s report Use the search bar on the Tasks tab to search by student name. Make sure the Pending tab is selected — reports waiting for your signature won’t appear on the Completed or Rejected tabs. If the student appears nowhere, they may not have submitted a report yet, or they may not have added you as their supervisor on their profile. A report I signed is no longer showing Check Completed for reports you have signed. Open the report to check any remaining signatures. Download the finalized document once all required parties have signed. I denied a report by mistake Contact the student’s faculty supervisor or a program coordinator — they can issue a resubmit flow so the student can resubmit without losing their original hours. You cannot undo a denial yourself. The DocuSeal signature window isn’t loading Try opening the report in a different browser or disabling browser extensions (ad blockers sometimes interfere). If the issue persists, contact your program coordinator.
