There are two ways to set up a Meet session, depending on whether you want to plan ahead or get started right away. Program admins can also schedule a session for someone else.

Schedule a meeting for later

Click Schedule Meeting at the top of the Supervision Room. Choose a title, date and time, and a length of 30 to 120 minutes. Add up to 20 people by email. Each invitee gets an email with a calendar invite. Once it’s created, the meeting shows up under the Scheduled tab.
Scheduling dialog demonstration: enter Supervision practice session, open the duration menu, and select 45 minutes.

Enter a title and choose a duration. This demonstration stops before scheduling or sending invitations.

Schedule Meeting form with meeting title, date, time, timezone, duration, and host fields.
Only the person who created a scheduled meeting can edit its details or add more people to it afterward.

The lobby

If someone arrives before the host, they wait in a lobby. When the host opens the room, everyone waiting is let in automatically.

Start a meeting right now

If you don’t need to schedule anything, click New Meeting, choose Record live, then Start a new meeting.
New Session dialog offering Record live and Upload a recording.

Choose Record live to start or join a meeting, or Upload a recording for an existing video.

You’ll be asked for a few basic settings first, like your name for the session. From there, you can turn on the AI note taker and hide identifying details before you join.

Schedule a meeting for someone else

Program admins can schedule a session for a member of their program:
  1. Click Schedule Meeting.
  2. Pick the person who will host from the Host field.
  3. Finish the details and schedule it.
Host search field and Invite participants email field in the scheduling form.

Choose a host and add participants before scheduling.

The host owns and runs the session. You’re invited too, and you keep access to its recordings. Everyone is told this before they agree to be recorded: the consent text names you and says you’ll also have access to the recording. The host confirms this once before they can enter the room.
The Host field only appears if you’re a program admin or a FieldX coordinator.

What’s next

Once your meeting is set up, see The AI Note Taker to learn what it captures, or Participants & Invites to bring other people into the session.
