# Step 3: The timesheet tab — logging hours

> How to log, edit, and track your field experience hours on the Timesheet tab.

The Timesheet tab is where you spend most of your time in FieldX. It's where you log hours, track progress toward your requirements, and manage past entries. Every hour you log here feeds directly into your supervisor's reports and your program's graduation requirements — so accuracy matters.

It's also the **default tab** you land on when you open Field Experience after clearance is approved.

## The header buttons

Across the top of the Timesheet tab you'll find quick-access buttons:

| **Todos**                   | Open your Todos modal (count badge shows open items assigned to you)                      |
| **My Notes** *(orange)*     | Open the journal modal — private journals and supervision notes                           |
| **Clearance Tasks**         | Jump back to your clearance flow (insurance renewals, supervisor updates)                 |
| **Create Timesheet Report** | Generate a Run Report on your own data — Weekly Activity Ledger or others enabled for you |

## Logging hours

<Warning>You can only log hours after your clearance is approved. If the Log Hours button does nothing or shows an error, your clearance hasn't been approved yet. Check **My Dashboard → Profile Details → Clearance Tasks** for your status.</Warning>

  <Step title="Open the Timesheet tab">
    Click the **Timesheet** tab from your Field Experience dashboard. The default view shows the current term. Use the **period dropdown** in the toolbar to switch to a different term if needed.

  <Step title="Click 'Log Hours'">
    Click the **Log Hours** button (sometimes labeled **Add Hour Logs**) in the toolbar.

    If this is your first time logging hours, the one-time **Timesheet Logging Agreement** modal appears. Read it carefully and click **Accept** to continue — you can't log hours until you accept.

  <Step title="Fill in the entry">
    The modal asks for:

    * **Activity** — what were you doing? (e.g., Direct Service, Supervision, Documentation)
    * **Date** — when did it happen?
    * **Start & end time** — duration is calculated automatically
    * **Site** — which placement site were you at?
    * **Supervisor** — who supervised this activity?
    * **Cohort** — which class should these hours count toward?
    * **Notes** *(optional)* — additional context about the session

    Click **Save**. The entry appears in your timesheet table with an **Unapproved** status until your supervisor signs off on a report that includes it.

## Logging multiple entries at once (weekly pattern)

If your placement follows the same schedule every week, you can speed up logging using the **weekly pattern** mode in the log modal:

1. Open the Log Hours modal
2. Switch to **Weekly Pattern**
3. Set the days of the week, start time, end time, activity, site, supervisor, and cohort
4. Pick the date range (e.g., the whole term)
5. Click **Save** — FieldX creates one entry per matching day in one go

Use this for recurring class hours, supervision sessions, or set placement shifts.

## Logging hours with AI

For ad-hoc batch entry, the **Log with AI** option lets you paste a paragraph describing what you did (e.g., from your own notes) — the AI parses it into one or more timesheet entries you can review and confirm before saving.

## The timesheet table

Below the toolbar is the full timesheet table:

* **Filters** — date range, activity type, site, supervisor, status (Approved / Unapproved)
* **Bulk actions** — select multiple rows to delete or assign to a report
* **Per-row actions** — view, edit, delete

Each row shows the date, activity, duration, site, supervisor, cohort, and status.

## Approved vs. unapproved

Each entry has one of two statuses:

* **Unapproved** — logged but not yet signed off on by your supervisor
* **Approved** — included on a supervisor-signed report and counts toward your requirements

Hours don't count toward graduation requirements until they're approved. Hours that were once approved can be "unlocked" by a coordinator if a report is reopened — they revert to Unapproved until re-signed.

## Hour totals

At the top of the table you'll see hours totals by category for the selected period. The categories match your program's track requirements (e.g., Direct, Indirect, Supervision, Total).

### Switching between terms

If you've been in field experience for more than one term, a **Viewing:** dropdown appears above the totals bar. Use it to scope the hours summary — and the **Hours Details** modal — to a specific term.

* **All terms** — combined totals across every placement you've had
* **A specific term** (for example, *Fall 2025 · Practicum*) — totals, requirements, and progress for just that placement

Each term in the dropdown is tagged with its status:

| Tag          | Meaning                           |
| ------------ | --------------------------------- |
| **Active**   | The term is currently in progress |
| **Upcoming** | The term hasn't started yet       |
| **Past**     | The term has ended                |

When you open the Timesheet tab, the dropdown defaults to your current active term. Switching terms updates the totals bar, the progress numbers in **Hours Details**, and the requirements you're being measured against — useful when you move from Practicum to Internship and want to compare progress across levels.

<Note>The term selector only affects the summary bar and Hours Details modal. The timesheet table below still shows entries based on its own date and filter controls.</Note>

## Editing & deleting entries

Click any entry in the table to edit or delete it. **Once an entry is approved (included on a signed report), it's locked** — you can't edit or delete it until a coordinator unlocks the report.
