# Step 3: Signing off on hours

> Three ways to review and sign student hour reports: from the dashboard, by email, or via the weekly digest.

Approving student hours as a faculty supervisor is flexible — choose whichever method fits your schedule.

## Option A: From the dashboard

    On your **Overview** page, click the task-count badge on any student row to jump to their pending items. Alternatively, go to the **Cohorts** tab, open a cohort, and use the **My Tasks** sub-tab to see all pending reports for that group.

    Click the action button on any pending report. The **Action Item Panel** opens — a unified side panel that shows the report, the hours attached, your comments, and the signing controls.

  <Step title="Review and sign">
    Review the hours logged. Click **Sign & Approve** to sign in the DocuSeal e-signature flow.

<Note>The signing flow is fully embedded — no separate window or extra steps. You can also click **View Logs** to see each hour entry on the report (date, type, site, duration, notes).</Note>

## Option B: From an email (no login required)

When a student submits a report, you receive an email notification from `noreply@simcare.ai`. The email includes a direct **Sign & Approve** link — you can approve right from your inbox without logging in.

The link opens a focused DocuSeal page with the report content and signing pad. Once signed, you're done.

## Option C: Weekly digest

Every Saturday, you'll receive an automated digest email listing every outstanding signature waiting for you. This lets you catch up on all pending approvals in one go without monitoring the dashboard daily.

If your program has the **Daily Assignment Digest** enabled, you'll also get a morning email each weekday summarizing what your students completed yesterday.

## Signing as the faculty witness

Some formal reports (e.g., the Weekly Activity Ledger) require multi-party signatures: student, site supervisor, and you as the faculty witness.

The order of signatures is enforced — the report won't appear in your queue until the parties before you have signed. Once everyone signs, the report moves to **Completed** and a signed PDF is available for download.

## Downloading or printing a completed form

Assigned forms are different from hour reports: they open in `/assigned-forms` in a new browser tab. Once a form has a saved or submitted response, the task row shows a top-right **Download PDF** button. Click **Download PDF** to open a printable PDF, then print from your browser or PDF viewer.

## Sign & Approve is greyed out

The most common reason **Sign & Approve** is disabled is that the report has **zero approved hours** attached to it.

<Warning>Click **View Logs** on the report to see the hour entries. If the log is empty or all entries are pending, the student needs to submit hours — or previously approved hours may have been unlocked or deleted.</Warning>

Entries longer than 1.5 hours are flagged in amber — these aren't auto-rejected, but they may warrant a quick check with the student.

## Denying a report

If a report needs to be sent back:

    Be specific — the student will see this message. Set visibility to **Everyone** or **Hidden from students** if your note is for program staff only.

    The report moves to the **Rejected** tab and the student is notified.

Comments support threaded replies so you, the student, and the coordinator can continue the conversation in context.

## A report is "In Progress" but nothing is happening

**In Progress** means you opened the signing flow but didn't complete it. Return to the Tasks tab, find the report, and resume the signing process. If the signing interface won't load, try a different browser or clear your cache.
